What this sheet is for
A long layover at an airport hotel is easy to mismanage: you sleep through the alarm, forget a charger in the room, or miss a gate change while you were eating. This checklist covers the full cycle of a stopover — from clearing arrivals and reaching the hotel through to arriving back at your gate with time to spare. Print one sheet per layover.
How to use it
Work through Arriving and Checking In as soon as you reach the hotel, so logistics are settled before you unwind. Rest and Recovery prompts you through the basics your body needs during a short stay — food, hydration, medication and sleep. Before You Check Out is the critical sweep: confirm the flight status, pack everything and arrange transport before you leave the room. Getting Back to the Gate covers the final push from hotel lobby to aircraft seat, including re-clearing security and watching the departures board for any last-minute gate moves.
What is printed on the page
“Airport Hotel Layover Checklist” is laid out as two columns: four headed sections of eight pre-filled checkbox items each, two sections per column, with a notes box across the foot. Under the title it reads “Stay organised during a long stopover — rest, refresh, and reboard on time.”, and the line at the foot of the page says “Set two alarms for your departure time: one to leave the hotel room, one to clear security.”.
The section headings slot holds four entries — “Arriving & Checking In”, “Rest & Recovery”, “Before You Check Out” and “Getting Back to the Gate” — so the sheet is already filled in for travel rather than left as blank rows to label yourself.
The section 1 items slot holds eight entries — “Note hotel shuttle frequency / stop”, “Confirm check-in time with front desk”, “Store large bags in room or left luggage”, “Screenshot or print hotel booking ref” and “Check Wi-Fi password and connect” and three more — so the sheet is already filled in for travel rather than left as blank rows to label yourself.
The section 2 items slot holds eight entries — “Plug in all devices to charge”, “Shower and change into fresh clothes”, “Eat a proper meal, not just snacks”, “Drink at least 500 ml / 17 oz water” and “Take any timed medication as scheduled” and three more — so the sheet is already filled in for travel rather than left as blank rows to label yourself.
The section 3 items slot holds eight entries — “Confirm onward flight is on time”, “Pack all chargers and cables”, “Check every drawer and bathroom shelf”, “Return room key / key card” and “Collect any stored luggage” and three more — so the sheet is already filled in for travel rather than left as blank rows to label yourself.
The section 4 items slot holds eight entries — “Allow extra time for re-security screening”, “Have boarding pass and passport ready”, “Locate correct terminal and gate”, “Check departures board for gate changes” and “Refill water bottle before airside” and three more — so the sheet is already filled in for travel rather than left as blank rows to label yourself.
The remaining labels on the page are “Layover date” for the date label and “Notes & Gate Reminders” for the notes heading.
Two things about this particular two columns are settings rather than text, and “Airport Hotel Layover Checklist” has them set like this. Notes box is on: include the notes box across the foot. Column rule is on: draw a vertical rule between the two columns.
Tips
Write your onward flight number and gate in the notes box the moment you land, before you try to sleep.
If the layover is under eight hours, keep your main bag packed and only remove what you immediately need.
Use the notes box to record the hotel shuttle timetable so you are not hunting for it when tired and rushed.
The other layouts in this set
“Airport Hotel Layover Checklist” is one of three sheets in this set, each a different fixed layout filled for the same topic. “International Flight Day Checklist” uses the single column layout and “First-Time Passport Trip Checklist” uses the phased timeline layout. Pick by how you work: the layout decides how much you write and where, not what the sheet is about.
